Putting a document together

Most PDF jobs are a sequence: merge the files, reorder or delete pages, rotate the ones scanned sideways, then add page numbers or a watermark last, so they land on the final order. To go the other way, split a PDF by page ranges such as 1-3, 5, 8-10.

A filled-in form can still be edited by whoever receives it. Flattening turns the fields into ordinary page content, which is what you want before sending a signed or final copy.

Why compression helps some PDFs and not others

A PDF made from a scanner or phone camera is a stack of photographs, and compressing it at 150 DPI often cuts it to a fraction of its size. A PDF exported from a word processor is mostly text and fonts, which are already tiny; rebuilding its pages as images usually makes it larger and stops the text being selectable. Compress scans, not documents — and keep the original.

Getting text out of a PDF

If you can select the text in a PDF, PDF to text extracts it directly and exactly. If you cannot, the pages are images, and scanned PDF to text has to read them with OCR: printed text in a clean scan comes out well, while handwriting, low-resolution scans, and unusual layouts need checking by eye.

PDF to JPG renders pages as images for slides or social posts; JPG to PDF goes the other way for receipts and photographed pages.

What a PDF says about its author

PDFs carry metadata: an author name, the program that made the file, and when it was created and changed. That is often a personal name or a company's internal file path. The metadata viewer shows it, and remove PDF metadata clears it before a file goes outside the organisation.
