Adding it to your email
- Gmail
- Settings (the gear) → See all settings → General → Signature → Create new, paste, then Save changes at the bottom of the page.
- Outlook
- New Outlook and Outlook on the web: Settings → Accounts → Signatures, paste, and Save. Classic Outlook for Windows: File → Options → Mail → Signatures.
- Apple Mail
- Mail → Settings → Signatures, add one with +, and untick “Always match my default message font” before pasting, so the styling is kept.
- iPhone
- Settings → Apps → Mail → Signature. The iPhone keeps only simple formatting, so links and images may not carry over.
What to include
A good signature answers “who is this, and how do I reach them?” at a glance: name, role, company, and the one or two contact routes you actually want people to use. Legal details such as a company registration number are required in business emails in some countries, including the UK and Germany, and can go in the address line.
To let people save your details to their phone in one step, add a vCard QR code to your website or business card, and track clicks from your signature's website link with a UTM link.
Pictures
Keep pictures small: a photo of about 90 pixels and a logo 40 pixels high look sharp without slowing emails down. Use a web address that will not change, because the picture is fetched from it every time an email is opened.
How to use it
- Fill in your details, and add web addresses for a photo or logo if you want them.
- Choose a template, an accent colour, and a font.
- Press Copy signature and paste it into your email program's signature settings, following the steps for it.

Frequently asked questions
How do I add my signature in Gmail?
In Gmail, open Settings (the gear), then See all settings. On the General tab, under Signature, press Create new, paste the signature, and press Save changes at the bottom of the page.
Why don't my images show?
The picture must be online at a public web address, such as your photo on your company's website or a public file link; a file on your computer cannot be used. Some recipients also block pictures until they choose to show them.
How long should a signature be?
Three or four lines of text is enough for most people: name, role and company, one or two ways to contact you, and perhaps one link. Long signatures with many pictures are often cut short or treated as spam.
Can I edit the signature after pasting?
Yes, in the email program's signature editor, but it is easier to change the details here and paste it again. Your entries are kept in this browser for next time.
