A base proposal with a separately priced option

Let S be the rounded sum of included quantity × unit-price lines. Optional lines are displayed separately and contribute zero to S. For percentage discount p, D = S × p/100 rounded to the currency minor unit and capped at S. Tax line i = (S − D) × rate i/100, rounded separately. Proposal total = S − D + all tax lines. Example in a two-decimal currency: include two design sessions at 100.00 each, and mark three optional prints at 20.00 each as Optional. Subtotal is 200.00, while the optional amount is 60.00. A 10% discount removes 20.00, leaving 180.00. Illustrative 5% and 8% tax lines add 9.00 and 14.40, giving a base total of 203.40. The optional 60.00 is excluded from all those calculations. If the proposal is accepted, the invoice generator can prepare a separate payment request.

Turning a proposal into a useful record

Write what the price includes, what would change it and how the customer should respond. A validity date helps identify the version being considered. Keep an accepted proposal with later invoices and receipts so the scope and price can be traced through the work.

It does not prescribe the wording or validity period for this quotation. The tool creates a document from your entries and does not send it, record acceptance or take payment.

Rounding and proposal revisions

The total rounds line amounts, discounts and each tax to the selected currency’s minor unit. The example uses two decimal places; a currency displayed with a different number of minor digits can round differently. Give a revised proposal a clear reference and date. Keep earlier versions labelled so a customer does not mistake an optional addition or an expired proposal for the current offer.

Frequently asked questions

Does changing Estimate to Quotation alter the calculation?

It changes the document label, not the arithmetic or the legal effect of your terms. Make the scope, assumptions and acceptance process clear in your own wording. Whether a proposal becomes binding depends on the agreement and applicable rules, not the selected label alone.

What happens when a customer chooses an optional item?

Clear its Optional checkbox to include that item in the subtotal. Its price then contributes to any percentage discount and each tax line. Regenerate and review the proposal after making the change so the customer sees the revised total.

How should I choose the validity date?

Use the period you actually intend to offer and make sure the date is on or after the document date. A default date is editable; it does not establish a required quotation lifetime. Explain any price or scope assumptions in Terms.
