Getting paid on time
State the payment terms clearly, such as 14 or 30 days, and the payment details: bank account, payment link, or reference to quote. Send the invoice as soon as the work is done, and follow up politely the day after it falls due.

Tax and records
Rules on what an invoice must show, and when to charge sales tax or VAT, differ by country and by turnover, so check with your tax authority or an accountant. Keep a copy of every invoice you send, as PDF files, for your records.

What should an invoice include?
A unique number, the date, your name or business name and address, the client's details, a description of the goods or services with quantities and prices, the total, any tax, and how and when to pay. Many countries also require your tax or VAT number; check the rules where you work.
How do I number invoices?
Use one continuous sequence without gaps, such as INV-2026-001, INV-2026-002. New invoice moves to the next number automatically, keeping any prefix and zero padding.
How do I save the invoice as a PDF?
Press Print or save as PDF, then choose Save as PDF, or Microsoft Print to PDF on Windows, as the printer. On a phone, use the share or print option in the print dialog.
